Policies

It is our privilege to serve your equipment and facilities reservation needs while you are here at Huntington.  Whether you require equipment or the use of our Studios and Editing Suites, you can utilize our services and staff to help you complete your class assignments, group projects, or even some personal concept. Connect2 is providing this section so that you are aware of our booking policies and what is expected during the time you have equipment checked out. While we have tried to cover the highlights of this process you are always welcome to come by the Digital Media Center, better known as the Cage, and ask questions.

 

BOOKING

  • Reservations must be made 24 hours in advance.
  • All reservations have a two-day default. The single exception is for reservations picked up on Thursday, which may be returned on Monday. Requests for extensions, including Thursday to Monday, must be made through the Cage and will be considered on a case-by-case basis. To request an extension please email the Cage (azequipment@huntington.edu). Include the booking ref number (ex: Con00XXXX) and let us know how much longer you will require the equipment/room. We will try our best to accommodate you.
  • Once you have confirmed your booking, the Cage will review your reservation for approval. This may take up to 24 hours.
  • Although you may submit your booking and the Cage may confirm it, you can still amend your reservation up until your pickup time.

 

PICKUP

  • All equipment and room key pickups take place after 12P on the day you reserved. There are no early pickups unless arranged previously with the Cage staff.
  • The Cage staff strives to provide you with clean, fully-operating equipment every time you check out. At the time of pickup, your equipment will be staged, ready for your inspection. This is an opportunity for you to review the functionality of your gear and that you have everything necessary for your project. Should you find a missing item, non- functioning equipment, damage, or require additional gear please bring it to our attention so that we can address the issue.
  • You may not store equipment overnight in any of the classrooms, labs, studios, the broadcast control room, or the recording studio without prior permission.
  • You are free to share your equipment with other students, but understand that you are solely liable for the reservation. It doesn’t matter who returns the reservation to the Cage on your behalf; any fines or cost for repairs and/or damages will be charged to the student whose name is on the reservation.

 

RETURNS

  • All equipment and room key returns take place before 11A on the day it is due. There are no late returns unless arranged previously with the Cage staff.
  • Unless it is a small reservation, you will be asked to stage your equipment return nearby (usually in one of the Studios).
  • Be sure to carefully check your return ensuring you have everything and especially, that it is in the same condition as when you received it.
  • Be sure to notify us if anything is damaged or missing. If you don’t take a moment to notify us, it will instantly become your responsibility.
  • A booking is not considered complete unless all items in your order are returned on time. Missing gear or components will incur a late fine. Equipment can always be returned earlier than the due date/time as long as the Cage is open. 

 

ROOM BOOKINGS

  • Although very similar conditions apply to room reservations, please review and follow the checklist in the room to avoid any fine. The checklist is posted inside the room, on or near the door.
  • Room keys can be returned prior to the 11A deadline by dropping them in the mailbox positioned on the right side of the Cage door.
  • After you have returned your key, a Cage staff member will check your room for cleanliness and that everything is in working order.

 

COMMERCIAL USE OF EQUIPMENT / STUDIOS

All equipment, facilities, and rooms on the Huntington campus are prioritized for instruction and class projects; however, while you are students at the university you may leverage our resources for paid projects.  Our hope is that you will leverage this unique arrangement to develop your business acumen and build the foundation for your success as a freelance entrepreneur.

Reserving equipment and/or facilities utilizes the same tools already available to you. Simply complete your reservation as normal and email the Cage (azequipment@huntington.edu) and include the booking ref number (ex: Con00XXXX). Notify us that this particular reservation is a paid project and we will generate an invoice that outlines the rental rates and your discount. This invoice must be paid before you can pick-up your reservation. Payments can be made by cash, check, or over the phone with a credit card.

This commercial use policy excludes internships (paid or unpaid) as long as you are receiving school credit. Similarly, students may reserve equipment and facilities for non-paid personal projects as long as their reservation does not conflict with instruction or class projects and they maintain a minimum 3.0 GPA. Keep in mind that access under this policy is based on availability and approval by the Studio and Equipment Manager.

 

USE OF EQUIPMENT / STUDIOS at COMPETITIONS (such as 48Hr Film Challenges)

Students may use HU gear and studio spaces at no cost at film competitions as long as their content honors the "Christ. Scholarship. Service." mission/values of the University. Students participating in these competitions who wish to use gear/spaces at no cost are to simply submit scripts/log lines to Film Professor Phil Wilson for (quick) email approval. Note that if students formally rent out gear/spaces this policy does not apply, and Faculty approval is not required. 

 

"SERVICE FEES"

We know that you will attempt to fulfill your responsibilities and use our equipment and facilities in a respectable manner. However, in those instances when students are late or disregard their obligations, the impact is felt on multiple levels, therefore "Service Fees" are imposed on the student whose name is on the reservation for any of the following conditions:

  • Late return of room key or equipment
  • Excessively unclean or blatant disregard for organizing equipment upon return 
  • Failed room inspection (unclean room, equipment dissembled or removed)

"Service Fees" are various tasks your cage employee can assign to assist the cage in it's upkeep. "Service Fees" may included tasks like sweeping a room, dusting sandbags, cleaning the carts, tidying, etc. Once a student has incured a service fee, they will need to complete that task before they can make any new orders. Multiple offenses may result in more/larger tasks, or having your Cage privileges revoked. 

 

NOTICES

Connect2's notification system is email based; therefore, please stay attentive to the various messages you will receive during your reservation process.

As the booking system policies are stated above and are available anytime you visit this site, your use of this resource to reserve equipment and/or facilities is taken as confirmation of your understanding regarding these policies. As such, any time you create a booking you will be held accountable for the policies outlined above.
